Managing Users

The Users page allows Owners and Admins to manage accounts and organize their workforce.

User Roles and Permissions

Each user must be assigned a role, which controls what they can see and do within the application.

  • Owner: There is only one Owner per company. They have full access to all features, including managing billing, company settings, and deleting the company.
  • Admin: Have most of the same permissions as Owners but cannot manage subscriptions or delete the company. They can add and manage all other users.
  • Auditor: A read-only role designed for managers or supervisors. They can view all data (dashboard, checks, vehicles, etc.) and perform checks themselves, but cannot edit users, vehicles, or maintenance schedules.
  • Driver: This role has the most restricted access. Drivers can only perform vehicle checks and, if applicable, report collisions. They cannot see the main dashboard or other management pages.

Adding a New User

When you add a new user, you must provide their name, email, and assign a role. Upon creation, the new user will automatically receive an email prompting them to set their password. They will not be able to log in until they have completed this step.

Managing Existing Users

From the action menu (`...`) on the user list, you can:

  • Edit User: Change a user's name, role, or optional contact details.
  • Send Password Reset: Manually trigger a password reset email to be sent to the user.
  • Archive User: Deactivate a user's account. They will no longer be able to log in, but all their historical data (like completed checks) is preserved. Archived users do not count towards your subscription limit. You can also restore an archived user.
  • Delete User: Permanently remove a user from the company. This action cannot be undone, but their historical data will remain for auditing purposes.
